Creating and Managing Sessions

A session is a live, encrypted interpretation conversation between a provider and a patient. Each session has its own unique encryption key, session code, and participant list.


Starting a Session

From the App

  1. Open MediMic.Ai and tap Start Session.
  2. Enter a Session Name (e.g., "Follow-up Visit — June 3"). A default name based on today's date is provided.
  3. Choose a Session Mode:
    • Shared Device — one device, passed back and forth
    • Two-Device — each party on their own phone/tablet
  4. Tap the mode card to begin.

Session Name

The session name is a local label to help you find the session in your history. It is not transmitted to the patient and is never included in the encrypted transcript content.


Session Modes

Shared Device Mode

Best for: exam rooms, bedside visits, any setting where the provider can hand a device to the patient.

  • Provider and patient use the same device, taking turns.
  • After language setup, a large microphone button appears on screen.
  • Whoever is speaking taps Hold to Speak.
  • When done, tap Done Speaking — the translation appears and is read aloud.
  • Hand the device to the other party for their reply.

Advantages: Simple setup, no patient account or phone required, works even if the patient has no smartphone.

Two-Device Mode

Best for: telehealth, situations where the patient has a smartphone, maximizing conversational flow.

  • Provider stays on their device; patient joins on their own phone.
  • Provider creates an invite and shares it via link, SMS, or QR code.
  • Both parties see each other's translated speech in real time.
  • No turn-taking required — the system detects who is speaking.

During a Session

Session Screen Controls

Control Description
Session Code 6-character code displayed at top — useful for verbal confirmation
Participants Live count and names of connected participants
Open Conversation Enter the live translation interface
Create Invite Generate a new invite link for an additional participant
End Session Close the session for all participants

Session Status Indicator

A colored dot in the top status bar shows the current state:

  • Green — Ready / active
  • Blue — Loading or processing
  • Red — Error or expired

Ending a Session

Tap End Session on the Session screen. This:

  1. Sends a leave notification to all connected participants.
  2. Removes the session from the Active Sessions list.
  3. Records the session end time in the audit log.

The encrypted transcript remains accessible in the Provider Portal under Session History.

Patients on Two-Device mode will see a "Session Ended" screen and be prompted to close the browser tab.


Session History

Completed sessions are listed in the Sessions tab of the Provider Portal and in the app's History view.

Each session record shows:

  • Session name and date
  • Duration
  • Participant count
  • Mode (Shared Device / Two-Device)
  • Link to encrypted transcript

Transcripts are stored end-to-end encrypted. The portal can display the transcript only if the session key is present on the device that created the session.


Session Expiry

Session access tokens expire after a configurable period (default: 2 hours). If you are in a long visit and see a "Session Expired" message:

  1. Tap OK — you will be returned to the home screen.
  2. Tap Resume Session (if the session is still within the grace window) or start a new session.

The patient's transcript data is preserved even if the session token expires.


Multiple Sessions

You can have multiple active sessions (e.g., for different rooms or providers). Each session is independent and separately encrypted. Switch between them from the Active Sessions list on the home screen.
