Signing In & Account Access
MediMic.Ai has no passwords. You sign in with a short code or a link sent to your email address, and the app remembers the device afterwards. This page explains every way to get into the app and the Provider Portal.
Why There Is No Password
Passwords are the most common cause of healthcare account breaches — reused across sites, written down, or phished. MediMic removes them entirely:
- Nothing to remember, rotate, or reset
- Nothing an attacker can steal from another breached site and replay here
- Every sign-in is tied to control of your work email inbox
You will never be asked to create a password, and MediMic support will never ask you for one.
Signing In to the Provider Portal
- Go to portal.medimic.ai.
- Enter your work email address.
- Click Send sign-in code.
- Check your inbox for a 6-digit code.
- Enter the code and click Sign in.
The code expires after 10 minutes. If it expires or you mistype it, click ← Use a different email and request a new one.
No account yet? You do not need to sign up separately. Enter your email on the same screen and a free account is created for you automatically on first sign-in.
Staff Sign-In
MediMic platform staff sign in through a separate route at /auth/staff, linked at the bottom of the sign-in screen. This is for Health Ai personnel administering the platform and is not used by provider customers. See Admin Console Guide.
Signing In to the Mobile App
The app uses an email link rather than a typed code.
- Open the app and tap Account.
- Enter your email address.
- Tap to send the link, then open the email on the same device.
- Tap the link — the app opens and you are signed in.
The link expires in 15 minutes. If you miss it, request another from the same screen.
Staying Signed In
Once a device is signed in, it stays signed in. The app registers the device against your account so you are not asked to re-authenticate every visit — important when you are starting a session in front of a patient.

Guest Mode
You can use MediMic without an account at all. Tap Continue as Guest on the Account screen.
Guest mode gives you the full interpretation experience — both session modes, all languages, and the same encryption — with these differences:

Guest mode is not appropriate for real patient PHI. Guest sessions are not covered by a Business Associate Agreement. Sign in and move to a paid plan before using MediMic in actual clinical care. See Business Associate Agreements.
How Guest Allowances Work
A guest account is tied to the physical device, not to an email address. The device gets its own monthly allowance of sessions and translation minutes drawn from the Free plan.
- Allowances reset every billing month, exactly like a paid plan
- Reinstalling the app does not reset the counter
- When you reach the cap, the app shows Translation Limit Reached and prompts you to upgrade

Moving Between the App and the Portal
The app and the portal share one account. Signing in on one does not sign you out of the other.
Billing, team management, and invoices are web-only — the app links out to the portal for these rather than duplicating them. When the app sends you to a billing screen, it hands your session across so you do not sign in a second time.
Signing Out
Portal: click your name → Sign Out. This clears the session in that browser only. Other browsers stay signed in until they expire.
App: use Erase app data on this device in Settings → Privacy & Security. This is deliberately thorough: it wipes local transcripts and cached data and unlinks the device from your account on the server, so the app does not silently sign itself back in on next launch.
Erasing app data removes locally stored transcripts. Sessions that have synced to the portal remain available there. Guest sessions, which never sync, are gone permanently. See Transcripts & Session Records.
After erasing, signing in on that device again is the normal email flow, and the device re-registers.
Two-Factor Authentication and SSO
Both appear in the portal's Security section, currently marked Coming soon:
- 2FA / TOTP — planned; not yet available
- SSO (Okta / SAML) — planned, and offered as part of Enterprise onboarding
Passwordless sign-in is already active on every account and is shown as such in that panel.
Trouble Signing In
| Problem | What to do |

| Code never arrives | Check spam. Codes come from [email protected] — allowlist that address. |
| "Invalid or expired code" | Codes last 10 minutes and are single-use. Request a new one. |
| App link opens a browser instead of the app | Make sure the app is installed, and open the link on the same device the app is on. |
| Signed in as the wrong account | Erase app data (Settings → Privacy & Security), then sign in with the correct email. |
| Device shows as signed out repeatedly | The device may have been revoked from the portal. Check Devices. |
